idTraka
We’ve spent the last couple years designing idTraka to be a great staff / student / other contact record keeping tool for YWAM bases around Australia. The base in Adelaide has been the guinea Pig!.
With ease of set up (half a dozen questions for the base and 5 min of our time) I think idTraka is a viable data management system for most bases that can be fully operational in an hour if they chose to use it.
It handles mailing subscriptions (both emails, and printing labels for snail mail), general contact records and details, Staff & Student Records (including storage of Passports, Visa’s, Health Insurance Details, Police Cert Details, etc, and warns when any of the above are expiring), School Records (including a submission of FormB to the National IforN Office with a click of a button), and a multi-level permission layer designed to give access where access is due, and prevent access where it should be prevented.
Staff members can be assigned to different groups, with different permissions, confidentionality is still kept. The general public can also sign themselves up via web interface to any mailing list within idTraka, and can manage their own subscriptions if already in idTraka.
idTraka is fully web based, meaning that all you need is a computer with an internet connection, and a web browser and you’re set- making it perfect for those teams on outreach that have made contacts and will most likely write them on a piece of paper and lose them!
This is only a brief overview of what idTraka can do -I do believe (with my SA State Director’s hat on) that it can accomplish almost everything that most YWAM bases need within Australia when it comes to personnel record keeping, IforN record keeping and mail list subscriptions.
We are covering costs of the server and design by asking for $30 a month or $300 a year.
